How to track attendance consistently
- Write the center name and date before the first arrival. Use a fresh sheet each day.
- Record each student’s name and arrival time when they check in. Use the same time format throughout the sheet, including AM or PM.
- Record the departure on the same row when the student leaves. An empty departure field means the visit still needs checking, not necessarily that the student is still present.
- If a student returns later that day, start a new row so each visit has its own arrival and departure.
- At closing, review incomplete entries. For a correction, preserve the original entry and add the reason and staff initials.
Make the sheet work for your staff
Choose who records arrivals and who reviews the sheet at the end of the day. Keep it in a staff-controlled location, and avoid putting sensitive information in the notes column. Store completed sheets according to your center’s record-handling practices.
