Kumon Digital Check In Requirements: What Center Owners Need to Know

Kumon North America requires franchisees to use digital student check-in and check-out as part of its risk management protocols. The checklist deadline is October 31, 2026 at 12:00 a.m. ET, the start of that day.

What centers need to complete

The protocols cover three tasks:

  • Put a digital student arrival and departure system into use.
  • Complete the required Sexual Abuse & Molestation (SAM) training.
  • Submit the Risk Management Checklist through Salesforce.

Missing the required protocols or checklist may affect eligibility for Kumon’s packaged insurance policy and may constitute a material breach of the Franchise Agreement. Kumon has indicated that these requirements will be part of an annual compliance process.

Kumon hasn’t named a required vendor. Choose a system that records student arrivals and departures, then check your implementation against the current Kumon instructions. Software setup doesn’t replace training or paperwork.

Test a full visit, including a correction

Use a fictional student to test the workflow. Record an arrival, confirm the student appears in the current attendance list, then record the departure. Open the history and check that both times belong to the same visit.

Next, test a missed entry. Have an authorized staff member correct the time and record why. Check what another staff member can see afterward. Test a second visit on the same day, too.

Review an export with the person responsible for your records. Check student names, dates, time zones, arrival times, and departure times. Compare the output with the fields Kumon has asked your center to retain.

Agree on a process for a device or connection outage. Staff need to know where to record visits temporarily and who will reconcile them later. Confirm that fallback with Kumon if the notice specifies one.

Give staff a short, written routine

Name the person who records arrivals and the person who checks departures. Before closing, review open visits and resolve missing entries from known information. Don’t treat an empty departure field as proof that a student is still present.

Keep your setup notes, staff instructions, and any confirmation from Kumon together. Review the routine when staff change or new instructions arrive.
