Privacy Policy

Effective date: September 8, 2026

1. Scope and our role

Tea Labs LLC (“Tea Labs,” “we,” “us,” or “our”) provides Classroom Check-in at classroomcheckin.com and related services (the “Service”). This Privacy Policy explains how we collect, use, disclose, and retain personal information and how to contact us about privacy.

For customer account administration, billing, website operation, and our business communications, we determine how information is used. For student attendance records and parent contact details submitted by a center or other customer, we generally process information on that customer's behalf and according to its instructions. The customer's own privacy practices also apply to its collection and use of those records.

2. Information we collect

Account and organization information. Names, business contact details, organization information, login credentials or authentication records, account preferences, and authorized user details.

Student and attendance information supplied by customers. Student names or identifiers, class or group assignments, attendance status, arrival and departure times, and related details entered by authorized staff. We also process parent or guardian names, email addresses, and phone numbers supplied for service communications.

Communications. Support requests, messages sent through the Service, message delivery information, preferences, and consent or unsubscribe records.

Billing information. Billing contact information, subscription information, payment status, and transaction records. Payment card information is handled by our payment processor; we receive information needed to administer payments, such as payment status and limited payment method details.

Technical and usage information. IP addresses, browser and device information, timestamps, referring pages, pages viewed, interactions with features, cookie or similar identifiers, and diagnostic and security logs. The information collected depends on the features used, device settings, and applicable consent choices.

We obtain this information from customers, authorized users, website visitors, communications with us, automated technologies, and providers supporting the Service.

3. How we use information

We use personal information to provide attendance and communication features; administer accounts and payments; respond to support requests; maintain, troubleshoot, and improve the Service; prevent fraud and unauthorized access; communicate about service changes; and comply with legal obligations and enforce agreements.

We process identifiable student records to provide and support services for the relevant customer, follow its authorized instructions, and meet legal obligations. We do not use student records to target advertising, build unrelated commercial profiles, or train general purpose AI models.

4. When we disclose information

The relevant customer and authorized recipients. Customer administrators and staff can access information according to their permissions. Attendance messages may disclose relevant information to parents, guardians, or other recipients designated by the customer.

Service providers. We use providers for hosting, storage, infrastructure, payments, email, SMS, analytics, and support. Providers receive information necessary for their functions, subject to applicable contractual and legal requirements. As of this policy's effective date, examples include Vercel and Amazon Web Services for hosting and infrastructure, Stripe for payments, Resend for email, Twilio for SMS, and PostHog and Google Analytics for analytics. Not every provider receives every category of information.

We may add or replace providers over time. These examples are not a commitment to use a particular provider. We will keep this notice accurate and provide additional notice or obtain consent when required by law or agreement. Changing providers does not authorize using personal information for purposes inconsistent with this Policy.

Legal and protective purposes. We may disclose information when reasonably necessary to comply with law or legal process, protect rights and safety, investigate abuse, or enforce agreements.

Business transfers. Information may be disclosed in connection with a proposed or completed financing, merger, acquisition, reorganization, or asset sale, subject to appropriate confidentiality protections and applicable law. Any successor must handle information consistently with applicable privacy commitments or follow legally required procedures for changes.

Your instructions or consent. We may disclose information when you or the relevant customer directs us to do so, as permitted by law.

We do not sell personal information or disclose student records for others' advertising. Mobile numbers, SMS consent information, and related consent records are not shared with third parties or affiliates for their own marketing or promotional purposes. They may be disclosed to providers supporting message delivery and for the legal purposes described above.

5. Cookies and analytics

We and our analytics providers may use cookies and similar technologies to maintain sessions, remember preferences, secure the Service, and understand website and product usage. Current analytics providers include PostHog and Google Analytics. Depending on configuration, providers may collect information about activity over time and across websites or services using their technologies.

You can control cookies through your browser settings. Blocking some cookies may affect functionality. Where required, we request consent before enabling optional technologies. Google also offers an Analytics opt out browser add on at https://tools.google.com/dlpage/gaoptout.

6. Retention and deletion

We retain personal information for as long as reasonably necessary for the purposes described in this Policy, considering the customer's instructions and relationship with us, the sensitivity of the information, security needs, and applicable legal obligations.

Student and attendance records are retained to provide the customer's service and managed according to authorized retention and deletion instructions and applicable agreements. After account closure or an authorized deletion request, we delete or deidentify information that is no longer needed, subject to legally required retention and limited records needed for security, billing, dispute resolution, and demonstrating communication consent. Copies in backups may remain until the applicable backup cycle expires and are restricted from ordinary use.

Contact support@tealabs.dev for information about applicable retention periods or assistance with deletion. We do not retain personal information indefinitely merely because it may be useful later.

7. Choices and requests

Account holders can contact support@tealabs.dev to request access to, correction of, or deletion of their personal information or account. Depending on applicable law, you may also have rights to receive a copy, restrict or object to processing, withdraw consent, or appeal a decision. We will handle requests as required by applicable law and may verify identity and authority before responding.

For student records controlled by a center, contact that center first. If you contact us, we will help route or address the request in coordination with the customer and our legal obligations. We will not disclose a student's records to an unverified requester.

Recipients can stop SMS by replying STOP and obtain assistance by replying HELP or emailing support@tealabs.dev. Marketing emails, if sent, include an unsubscribe method. Essential account or service emails may continue where appropriate; contact the center or us about attendance notification preferences.

8. Children's information

The Service is designed for adults acting for centers and other organizations. Staff handle attendance entries. Children do not create accounts or independently operate the Service. We process information about students, including children under 13, provided by authorized adult customers to deliver the Service.

We do not knowingly collect personal information directly from children through independent use of the Service. If you believe a child has provided information directly to us without appropriate authorization, contact support@tealabs.dev so we can investigate and take appropriate action. Parents and guardians seeking access to or correction of center supplied records should use the request process above.

9. Security and processing locations

We maintain reasonable administrative, technical, and organizational safeguards designed to protect personal information. No system or transmission method is completely secure, and we cannot guarantee absolute security.

Information may be processed in the United States and other locations where we or our providers operate. Where applicable law requires safeguards for international transfers, we will use the required safeguards. This statement does not replace any required transfer agreement or consent.

10. Policy changes

We may update this Policy as the Service, providers, practices, or legal requirements change. We will post the revised Policy and effective date. For material changes, we will provide additional notice through the Service, by email, or another appropriate method, and obtain consent where required. We will not use previously collected information for materially different purposes without taking the steps required by applicable law.
